Conference FAQ's

How can I check what package I have booked (or what my ward has booked)?

If you booked your place at the conference yourself, you can check the invoice sent to you at the time of booking to confirm the package you selected. If you have any questions about what your package includes, please contact us and provide your invoice number—we will be happy to assist you.

If your ward manager or administrator booked the conference on your behalf, please reach out to them for the invoice number. Once you have it, you can contact NAPICU, and we will provide details of the package that has been booked for you.

Where is the Pre-Conference Summit & Main Conference being held?

NAPICU 28th Annual Conference 2025 & The Annual Pre-Conference Summit will be held in Northampton in the Mercure Hotel.

Pre-Conference Summit is only available to those who have booked this.

In Summary:

Wednesday
  • Summit Registration will open from 10AM
  • Summit Times: 11AM – 5PM 
  • Wednesday Quiz & Dinner: Dinner starting from 7PM and Quiz starting at 8.30PM

Thursday
  • Thursday Conference Registration: 8AM 
  • Thursday Conference Times: 9AM – 5PM
  • Thursday Gala Dinner: Welcome Drinks with photos starting at 6.30PM, Awards starting at 7PM and Dinner to be served at 7.30PM

Friday
  • Friday Conference Registration: 8.30AM 
  • Friday Conference Times: 9.30AM – 2PM

Cancellation Policy

Please note it is the delegate’s responsibility to ensure payment is made. By completing the registration form you are agreeing to pay cancellation details below.

Please remember early bird rates close on 30th June 2025, any booking forms submitted after this date selecting these rates will not be accepted and we will ask for you to resubmit your booking form with the correct regular rates selected.

Cancellation of registration by Delegate It is a condition of this booking that notification of cancellation received in writing by NAPICU/Northern Networking Events Ltd prior to 1st July 2025 will entitle the delegate to a refund of the pre-paid fees less an administration charge of £50. No refund will be made after 1st July 2025 and delegate is still liable for full payment. Substitute names can be made at no extra cost but must be made in advance in writing.

Cancellation of Conference/Alteration to Conference – it is a condition of this booking that Northern Networking Events Ltd and/or its agents have the right for any reason beyond their control to alter or cancel, without prior notices, the conference or any of the arrangements, timetables, plans or other items relating directly or indirectly to the Conference and that Northern Networking Events Ltd and/or its agents shall not, subject as aforementioned, be liable for any loss, damage, expenditure or any inconvenience caused as a result of such alteration or cancellation and in the event of cancellation of the Conference the pre-paid delegate registration fees will be returned in full and Northern Networking Events and/or its agents shall not be liable for any loss damage, expenditure or inconvenience caused as a result of such cancellation.

 

I can't log in to register?

Please note that NHS/private networks can sometimes block our websites. We do ask to try a different browser, however if you are still having trouble logging into the online portal to register yourself or your group please provide to this link – NO LOGIN FORM this form will not require a log in and should work on any browser and mobile devices. 

Alternatively, you can download our manual form to print off and fill out. We ask you fill this out in black ink and block capital letters. – Download PDF form

How can I change the name of a delegate on my group booking?

Yes, you can change the name of a delegate on your group booking! 

Please email NAPICU at info@napicu.org.uk and email the following information:

  • Quote invoice number (5 Digit number at the top of the invoice)
  • Name & Email of Delegate looking to cancel
  • Prefix, Full Name, Email & Dietary Requirements of New Delegate

We will then send an email to the new delegate with joining instructions closer to the time of the conference and an email to the cancelled delegate informing them of the cancellation. 

We kindly ask if you have any name changes to please provide the following information to the NAPICU Admin by Friday 5th September 2025. Please note that name changes sent to NAPICU after this date will incur a £25 administration fee and this will be added to your invoice for payment.

I can no longer attend, Can I transfer my booking to someone else?

Yes you can transfer your single booking to someone else. 

Please email NAPICU at info@napicu.org.uk and provide the following information:

  • Your Full Name & Invoice Number
  • Prefix, Full Name, Email & Dietary of the delegate taking your place 
  • Email confirmation from the new delegate agreeing to take your place and take over payment if it is outstanding.

We kindly ask if you have any name changes to please provide the following information to the NAPICU Admin by Friday 5th September 2025. Please note that name changes sent to NAPICU after this date will incur a £25 administration fee and this will be added to your invoice for payment.

Gala Dinner Awards Information

Gala Dinner will be hosted in the Buckingham Suite at the Mercure Hotel, Northampton. 

  • Welcome Drinks with Photo opportunity: 6.30PM – 7.00PM 
  • Staff Awards 7.00PM – 7.30PM 
  • Dinner will be served from 7.30PM

** Please check your booking form/invoice to ensure you have the Gala Dinner included. Superior & Standard delegate packages have Gala dinner tickets included in the cost. Quiz & Buffet Information

Quiz & Buffet Night is hosted in the Buckingham Suite at the Mercure Hotel, Northampton. 

  • The Buckingham suite door will open at 6.30PM 
  • Buffet will open at 7PM – 8PM 
  • Quiz will begin at 8PM with Prizes to be won! 

** Please check your booking form/invoice to ensure you have the Quiz&Buffet Ticket included. Superior & Standard delegate packages have Quiz&Buffet Ticket included in the cost. Abstract Submission Information

Abstract Submission are open until Monday 26th May 2025.

How can I view speaker presentations after the conference?

All delegates who attended the conference will be sent a link with a passcode to accept all presentations & photo’s. 

If a presentation is not available on the delegate’s area it may be the speaker has chosen not to share this. 

Please allow up to 10 working days after the last day of the conference to be sent the link to the delegate’s area. 

Photography Information

Please be aware that photographs will be taken throughout the NAPICU Conference, including at the Gala Dinner and Awards Ceremony. If you do not wish to be photographed, please inform us prior to the conference. It is also your responsibility to notify the conference team at registration so we can direct you to the photographer. While we will make every effort to avoid capturing those who have opted out, it may not always be possible, particularly in group or background shots. We kindly ask delegates to remain mindful of the photographer during presentations and networking sessions to avoid being in the background of any images.

Please note that we will try our best to accommodate all dietary but we do ask that delegates be mindful at lunches and dinners which offer buffet options.

Dress Code Information

For the NAPICU Conference, the dress code is smart casual. We kindly ask attendees to avoid football tops and any clothing with offensive slogans.

For the Gala Dinner & Awards Event, the dress code is smart dress—formal but not strictly black tie. We encourage guests to dress elegantly while maintaining comfort.
